A reference image is not a manufacturing release
References communicate proportion and appearance but rarely define dimensions, material thicknesses, joints, hardware and performance criteria. Link each reference to an item schedule, use location and plan. Identify established requirements and the areas where the manufacturer is asked to propose a solution. An initial package can be discussed before quantities are final; estimated quantities remain distinct from an approved purchasing schedule.
Connect six essentials through an item code
Give each item a name, quantity or room-type allocation, key dimensions, materials and finishes, hardware and use criteria. For loose furniture, check table-chair relationships, comfort and maintenance. For fitted elements, check site sizes, substrates and adjacent trades. Keep the same code through the quotation, drawings, samples, manufacture and packing so parts and aftercare issues can be located later.
Show use and assembly, not just appearance
Use plans, elevations, sections and details as required, including fixing interfaces, assembly modules and service provisions. Review open positions, maintenance access and shipping sizes. Responsible parties approve structural and fixing solutions. Terms such as stability or fire performance require defined criteria and appropriate evidence, rather than being accepted as visual descriptions in a reference photograph.
Align drawings, finish samples and prototypes
Approve colour, texture, sheen, feel and upholstery seams through identified physical samples where agreed. Record the reviewer, date and permitted variations. Sample changes to size or construction must return to the drawing and quotation revision. A mock-up room also tests relationships with lighting, sockets, bedside clearances and actual operating space, rather than the individual items alone.
Record cost, timing and batch impacts of changes
Identify the previous and revised version, affected codes and quantities, and the production stage reached. Review purchased materials, processed parts and waiting shipments separately. Agree rework, additional materials and timing before action. A chat approving a new appearance is not enough if manufacturing and packing still use the old schedule; update the controlled documents.
Make production release an explicit decision
Release production after the schedule, dimensions, samples, performance criteria, payment conditions and delivery phases reach the agreed status. Assign owners and closing conditions to outstanding items. W.H can support drawing and sample reviews within an agreed scope; project documents should state the actual design, survey, installation and third-party testing responsibilities.
The agreed schedules, drawings, quotation and contract define the scope, materials, quantities, costs and responsibilities.
