08 / PROJECT JOURNEY
Share drawings, schedules and target dates. Confirm supply and installation responsibilities and the basis of quotation.
The nominated contact approves drawings, samples and critical dimensions in writing. Record revisions and their cost and schedule effects.
Review agreed inspection points, package identification, dispatch conditions and receiving details. Nominate the site recipient.
Check delivered items and agreed services against the schedule. Record issues, responsibilities and actions, and hand over care and spare-parts information.
PROCUREMENT & DELIVERY
Agree the products, standards and responsibilities before production. These guidelines help owners, designers and contractors prepare information, approve milestones and establish a workable supply plan.
Share the destination, plans and elevations, item codes and quantities, material references, target dates and supply or installation requirements. Reference images and estimated quantities can start the discussion. We first identify missing information and scope boundaries, then review specifications, materials and quotation conditions.
Quotations identify item codes, specifications, materials, finishes, quantities and agreed services. Transport, insurance, taxes, unloading, installation and site finishing should be stated separately in the quotation and contract. Currency, trade terms, payment milestones and validity follow the formal quotation.
Identify the sample items, intended use and review criteria, and agree sample costs, shipping, reviewers and revision steps in writing. The nominated party approves dimensions, construction, finishes, hardware and site interfaces. Agree natural variation and batch colour differences through samples and tolerances, then carry approvals into production drawings and material schedules.
Lead time is assessed against quantities, construction, material sourcing and factory scheduling. The production start milestone is confirmed once the contract, agreed payment conditions, drawing and sample approvals, and critical dimensions are in place. Discuss phased production and dispatch early when working towards opening dates or area-by-area construction.
Submit changes in writing so material availability, work already produced, cost and programme effects can be assessed. Changes proceed after both parties confirm the revised version and arrangements, keeping the factory and site on the same information.
Raise requirements for dimensions, finishes, hardware, assembly and packing during procurement. Agree inspection points, sampling methods, dates and participants. Client or third-party inspection, trial assembly and required reports need agreed scope, preparation and costs before factory scheduling. Dispatch conditions follow the contract and written confirmation.
Provide the destination country, hotel brand standards, material schedule and applicable test names, standard editions and report requirements, including fire performance, emissions or durability. Review available documentation, product applicability and any additional testing or material changes item by item, with costs and timing agreed in the quotation. Management-system certificates and product test reports are reviewed separately.
Transport methods, packing, batches and responsibilities are agreed in the contract. Confirm recipient details and site readiness before dispatch; check packaging, quantities and item codes on arrival and record exceptions. Assign unloading, handling, storage, substrate preparation, installation and protection in advance. Overseas projects also establish local installation support and required import or export documents.
Agree the product schedule, packing list, room or area identification, applicable assembly or installation instructions, and inspection or outgoing records for the project. Use consistent item codes for receiving, installation checks and snag lists so issues can be tracked through to resolution.
Warranty scope, duration, commencement, responsibilities and costs are agreed in writing in the contract. Report issues with project and item codes, photos or video and a description so repair, replacement parts or replacement can be assessed. Repeat orders require a check of original specifications, material availability and batch differences. Consider spare hardware, fabric and finish materials during procurement.
Send service requests by WhatsApp at +86 183 7773 0711 or to odix.furniture@zohomail.cn. Include the project and order or item code in the subject. Information is reviewed before the solution, timing and site support are agreed.
Provide the project, order or item code, location, date noticed, affected quantity and clear photographs or video. For transit damage, record the outer packaging, labels and damaged area and retain the packaging. Stop using any item that presents a safety concern.
Review drawings, materials, use conditions and site information. Confirm whether further measurements, samples or site details are needed, then agree the response and responsibilities.
Discuss repair guidance, parts or replacement against the cause and contract. Confirm specifications, quantities, expected timing, transport, site responsibilities and costs in writing. Do not modify or replace original parts before agreement. Share completion photographs and review the issue list.
Use cleaning and care methods suited to the material; avoid moisture, direct sunlight and unsuitable cleaners. Repeat orders require checks of dimensions, hardware, materials and colour, including discontinued items and batch variation.
These are project cooperation guidelines. Prices, production and shipment milestones, trade terms, installation responsibilities and aftercare follow the quotation, drawings, samples and contract agreed by both parties.
