Identify the authority, end use and product
The destination authority, hotel brand, consultant and owner may specify different requirements. Upholstered seating, mattresses, cabinetry, wall panels and doors should not be treated as one product category. Ask the project consultant or a qualified testing body to confirm applicability and editions, then have the manufacturer assess materials, samples and testing arrangements against that written brief.
Market guidance is not interchangeable
The US CPSC business guidance library lists upholstered furniture and mattresses separately. The UK publishes furniture fire-safety guidance and fire-risk-assessment guidance for sleeping accommodation. These sources have different scopes and uses: confirm the current official material and project conditions, rather than applying one market or product requirement to the entire hotel package.
Specify the material combination and evidence
Provide the standard name and edition, tests, covered components, acceptance criteria and required reports. Check whether evidence concerns a fabric, filling, substrate or assembled combination. A material report or an older sample does not automatically establish the performance of a new finished design. Clarify when a material substitution or construction change requires reassessment.
Separate management certificates from product evidence
ISO 9001, ISO 14001 and ISO 45001 certificates describe the relevant management systems. Fire behaviour, durability, emissions and other product characteristics require evidence appropriate to the actual materials, product and destination criteria. Include management certificates and product-specific evidence as distinct parts of the submittal so reviewers can understand what each document establishes.
Allow for testing before the quotation is fixed
Agree sample quantities, laboratory, cost responsibility, timing, report recipient and the response if a result requires design changes. Where criteria are still being developed, a preliminary offer can identify assumptions; close those conditions before production release. Keep a clear link between the approved material, drawing revision, tested configuration and submitted report for later review.
