Production time is assessed against the item schedule, quantities, construction, material procurement and factory capacity. Agree when approved drawings, samples, materials, payment milestones and critical site dimensions permit release. No universal day count is advertised. Separate production, inspection, container loading, sailing and estimated arrival in the offer and order. Ocean transit and customs clearance are separate from manufacturing; changes require a review of the affected batches.
Packing specification: matched to the item and route
Agree assembled or knock-down packing, surface protection, corner cushioning, separate hardware bags, carton strength and any crate or pallet requirement in the quotation. Match project, area, room-type and item codes to the packing list. Review fragile, heavy and unusual items separately. Confirm moisture protection, stacking limits, container restraint and any packing-photo records before release. A defined packing specification is more useful than an unspecified “export standard”.
FOB port and costs: name the port in the offer
The usual FOB port is not yet confirmed; the formal quotation must state the named port of shipment, the rule edition and the cost boundaries. Distinguish the shipment port from the destination port. FCA or another term may better match the actual handover, particularly for container shipments. Identify separately whether freight, insurance, destination charges, import clearance, duties and final-mile delivery are included.
Wood packaging and destination requirements
Where raw-wood pallets, crates or dunnage are used, check the destination requirements and the applicable ISPM 15 treatment, marking and supplier documentation. Wholly processed-wood packaging such as plywood is treated differently under the standard; check whether solid-wood members are also present. Use appropriately authorised suppliers for required treatment and marks, and confirm the actual configuration rather than assuming compliance from a material name or photograph.
Overseas installation: separate supply, remote and site services
Overseas installation is not automatically included in a supply quotation. Discuss assembly instructions, numbered layouts and remote technical coordination, or separately assess site supervision and installation services. Allocate final measurement, substrates, unloading and lifting, storage, MEP connections, permits and labour. Travel, visas, insurance, site readiness and costs for any visiting personnel need written agreement. Agreed qualified parties undertake local construction and compliance work.
Receiving, snagging and aftercare
Check labels and packing lists at receipt, recording carton condition, shortages and damage. Retain labels, photographs and handover documents. Distinguish transit damage, product issues and site damage and follow the agreed reporting periods, delivery terms, carrier and insurance conditions. Set the warranty period, coverage, spares, replacement freight and local labour responsibilities before the order; there is no single promise covering every country and use condition.
The agreed schedules, drawings, quotation and contract define the scope, materials, quantities, costs and responsibilities.
